1. About this Privacy Policy

This Privacy Policy explains how personal data is collected, used, stored, and protected when you use the Community Day Companion mobile application.

The app supports participation in the Fiscal Solutions Community Day event.

2. Personal data we process

Depending on how you use the app, we may process the following categories of personal data:

• account and identity data, such as name, email address, company, job title, country, and role;
• profile data, such as profile photo, biography, LinkedIn URL, interests, and visibility preferences;
• event participation data, such as agenda selections, saved sessions, consultation bookings, waitlist activity, room or venue guidance interactions, and event attendance-related information;
• communication data, such as messages, questions, reports, notification history, acknowledgements, and organizer support requests;
• content interaction data, such as viewed materials, downloaded content, survey responses, submitted questions, upvotes, and community posts where enabled;
• technical data, such as device platform, push notification token, app usage events, logs, timestamps, and basic diagnostic information;
• legal and consent records, such as accepted legal document versions, consent status, and relevant timestamps.

The exact data processed depends on the features enabled for the event and the choices you make in the app.

3. How we collect data

We may collect data directly from you, from event registration or approved import files, when you use app features, and automatically through technical activity needed to operate and improve the app.

4. Purposes of processing

We process personal data to:

• provide access to the app and identify authorized event participants;
• manage onboarding, user roles, profile settings, and event access;
• provide event agenda, venue guidance, local guide content, and event information;
• support consultation bookings, schedule reminders, waitlists, and operational updates;
• send in-app and push notifications related to the event;
• support attendee participation through Q&A, surveys, content access, and community features;
• allow users to manage visibility, messaging, and contact preferences;
• provide organizer support, moderation, security, and issue handling;
• maintain legal acceptance records and data retention records;
• improve event operations, app reliability, and future event planning through aggregated or operational analytics.

5. Legal bases for processing

Depending on the processing activity and applicable law, we may rely on one or more of the following legal bases:

• performance of a contract or event participation arrangement, where processing is needed to provide the app and event services;
• legitimate interests, such as operating the event, communicating event updates, ensuring app security, preventing misuse, improving the event experience, and managing attendee support;
• consent, where the app asks for optional choices such as certain visibility settings, optional communications, external sharing, or device permissions;
• compliance with legal obligations, where records must be retained or handled to meet applicable legal, audit, tax, security, or regulatory requirements.

Where processing is based on consent, you may withdraw consent where applicable. Withdrawal does not affect processing that took place before withdrawal.

6. Profile visibility and messaging

You may be able to control whether selected profile information is visible to other event participants.

Depending on event settings, visible profile information may include your name, company, job title, country, photo, short bio, LinkedIn URL, or selected interests.

Direct attendee-to-attendee messaging is only available where enabled and subject to profile and messaging preferences. Anonymous direct messaging is not supported.

Organizer visibility remains available where needed for event operations, support, security, and administration.

7. Notifications

The app may send notifications about event operations, agenda changes, room changes, consultation updates, reminders, surveys, materials, or organizer messages.

Push notifications require device permission. You can manage device-level permissions through your operating system and app-level preferences where available.

Some critical or operational messages may still be shown inside the app even if push notifications are disabled.

8. Surveys, feedback, and anonymous interactions

The app may support surveys, feedback, Q&A, and other participation features.

Some surveys or feedback forms may be marked as anonymous. Where anonymous mode is enabled, the organizer-facing view should not identify the respondent. However, technical records may still exist where needed to prevent duplicate submissions, protect security, or operate the service, unless the feature is specifically configured for fully anonymous collection.

Anonymous direct messaging and anonymous community posts are not supported.

9. Recipients and processors

Personal data may be accessed by authorized organizer staff, authorized administrators and support personnel, service providers that host or deliver the app, and other event participants only where visibility, messaging, Q&A, or community features make selected information visible.

Processors must process personal data according to applicable data protection requirements and agreed instructions.

10. International transfers

Some service providers may process or store data outside your country or outside the European Economic Area.

Where required, appropriate safeguards should be used, such as adequacy decisions, standard contractual clauses, or other lawful transfer mechanisms.

11. Data retention

Personal data is retained only for as long as needed for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

Event-related app data may be reset from the attendee-facing app after the event according to the Data Retention Policy.

Legal acceptance records, audit records, security logs, and selected administrative records may be retained for longer where needed for compliance, evidence, security, dispute handling, or operational continuity.

12. Security

We use technical and organizational measures intended to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure.

These measures may include access controls, authentication, role-based permissions, database security rules, secure hosting, audit records, and operational monitoring.

No digital service can be guaranteed to be completely secure.

13. Your rights

Depending on applicable law, you may have the right to:

• request access to your personal data;
• request correction of inaccurate or incomplete data;
• request deletion of your personal data;
• request restriction of processing;
• object to processing based on legitimate interests;
• request data portability where applicable;
• withdraw consent where processing is based on consent;

The app is intended for professional event participants and is not directed to children.

15. App store privacy information

If the app is distributed through an app store, additional privacy information may be shown in the relevant store listing.

The store privacy information should be consistent with this Privacy Policy and the actual data collected by the app.

16. Changes to this Privacy Policy

This Privacy Policy may be updated from time to time.

If a new version is published, the app may display the updated version and may request acknowledgement or acceptance where required.

Previous acknowledgement or acceptance records may be retained.
